Terms of Service

These terms govern your use of the Gepa Birr mobile app and the related backend service reachable at gepabirr.leseb.et and its API. By creating an account or using the app on someone else's account, you agree to these terms. If you do not agree, do not use the service.
1. Definitions
- "We", "us", "Gepa Birr" — the operators of the Gepa Birr service, based in Addis Ababa, Ethiopia.
- "The service" — the Gepa Birr mobile application, its backend API, and the account-management website.
- "Owner" — the person who registers a business account and pays for the subscription. The owner is responsible for the business account and everyone who signs in under it.
- "Staff" — managers, waiters, and cashiers granted access to a business account by its owner.
- "You" and "your" — the person reading these terms, whether you are an owner or a staff member.
- "Receipt" — a payment reference from Telebirr, CBE, Dashen, or Bank of Abyssinia submitted to Gepa Birr for verification.
2. Eligibility and registration
To register a business account you must be at least 18 years old, run or be authorised to represent a business operating in Ethiopia, and provide a working Ethiopian mobile number. Staff accounts are created by an owner and can only be used by the person the owner assigns them to. You are responsible for keeping your PIN and phone-number sign-in confidential.
3. Subscription and payment
Gepa Birr is a paid service. Subscriptions are offered in three tiers — Starter, Growth, and Business — each with a staff-seat cap and a price per 90-day billing cycle. The current tier, price, and staff cap are shown in the app under Subscription.
Subscription payments are made by bank transfer or Telebirr to Gepa Birr's merchant accounts, and confirmed by submitting the transaction reference inside the app. Access to the scanning feature is enabled once the reference is verified with the bank. If the bank cannot verify the payment, we will contact the owner to resolve it.
Subscriptions do not auto-renew. When a cycle ends, an owner submits a new payment reference to renew. Staff cannot sign in during a lapsed cycle.
Payments to Gepa Birr are non-refundable except where Ethiopian law requires otherwise, or where we have failed to deliver the service for reasons within our control and have not corrected the issue after reasonable notice.
4. Acceptable use
You agree not to:
- Resell, sublicense, or share access to Gepa Birr with anyone outside your business.
- Submit receipts that are not payments to your own business's accounts, or use the verification feature to test or probe someone else's receipts.
- Attempt to automate, scrape, reverse-engineer, or overload the verification pipeline beyond normal cashier use.
- Use Gepa Birr to facilitate fraud, money laundering, or any activity prohibited by Ethiopian law.
- Upload content — including dispute attachments and subscription payment screenshots — that is unlawful, contains malware, or infringes someone else's rights.
We may suspend or terminate any account that we reasonably believe is violating these rules, with or without notice.
5. The role of the banks
Gepa Birr verifies payments by calling verification interfaces operated by Telebirr, Commercial Bank of Ethiopia, Dashen Bank, and Bank of Abyssinia. We do not control those systems. When a bank's system is slow, unavailable, throttling requests, or returns an error, we cannot verify receipts routed through that bank until it recovers. In those cases the app shows "Checking with bank" and retries automatically; if a bank remains unreachable, the app tells you.
A "Verified" status means the bank confirmed the reference matches the amount and recipient we asked about at the moment of the check. It does not guarantee that funds are irrevocable — banks can, in rare cases, reverse a settlement after the fact. Gepa Birr is a verification tool, not a settlement guarantee.
6. Availability
We aim to keep the service available at all times, but we do not promise uninterrupted availability. Maintenance windows, network outages, third-party outages (including the banks in Section 5), and force-majeure events can and will interrupt service from time to time. We will make reasonable efforts to communicate planned maintenance in advance.
7. No warranty
The service is provided on an "as is" and "as available" basis. To the maximum extent permitted by Ethiopian law, Gepa Birr disclaims all implied warranties, including warranties of merchantability, fitness for a particular purpose, and non-infringement, in relation to the service.
8. Limitation of liability
To the maximum extent permitted by Ethiopian law, Gepa Birr's total liability to you for any claim arising out of or relating to the service is limited to the amount you paid us for the service in the 90 days preceding the event giving rise to the claim. We are not liable for indirect, incidental, special, or consequential damages, including lost profits, lost revenue, or lost business opportunities, even if we were advised such damages were possible.
Nothing in these terms excludes or limits liability that cannot be excluded or limited by Ethiopian law.
9. Your data
Our handling of information you provide is described in our Privacy Policy, which is part of these terms.
10. Termination
You may stop using the service at any time. An owner can request full account deletion at gepabirr.leseb.et/delete-account. A staff member who wants their account removed should ask the owner to remove them from the Staff screen, or contact us at the addresses below if the owner is unreachable.
We may terminate or suspend your access if you breach these terms, if we are required to do so by law, or if continuing to provide the service becomes commercially or technically infeasible. We will give reasonable notice unless doing so would itself cause harm.
11. Changes to these terms
We may update these terms. If a change materially affects owners' rights or obligations, we will notify owners in the app before the change takes effect. Continued use of the service after the effective date means you accept the updated terms.
12. Governing law and disputes
These terms are governed by the laws of the Federal Democratic Republic of Ethiopia. Disputes arising from these terms or from use of the service are subject to the exclusive jurisdiction of the courts of Addis Ababa, without prejudice to any consumer-protection rights you have under Ethiopian law that cannot be varied by contract.
